01 · ARRIVES
Scan it in
Photograph the label on a part or its tag. The part number, serial and manufacturer come back filled in.
- Batch add: up to 30 label photos at once, checked in one table, added to stock together
- A barcode in the photo, or a photo already read once, costs nothing. Only a new label is read by AI.
- A shared parts database fills in descriptions: hand-checked common parts, plus every part shops confirm, so each label only needs reading once
- Anything read is shown for you to check before it becomes a stock record
02 · SHELVED
Stock you can find
Every item has a part number, a serial, a condition and a place on the shelf.
- Quantities by location, with a minimum per part number and an alert when stock drops below it
- Condition codes: new, overhauled, serviceable, as removed, repaired, new surplus, factory new, and B.E.R. (beyond economical repair)
- A serial number belongs to the part, so a unit that was sold, exchanged or returned can be entered again; tail numbers are your shop’s own
- Status: serviceable, unserviceable, quarantined, scrapped. Scrapping is a recorded step (how it was disposed of, who checked it, why) and is final
- Printable barcode and QR labels on every plan; scanning a barcode or QR code to find a part, move it or log it is on Pro and up
03 · PAPERWORK
Certificates attached to the part
The release paperwork lives with the part it covers, not in a drawer.
- FAA Form 8130-3, EASA Form 1 and other certificates filed against parts and serials
- Scan a batch of release or repair paperwork with an ADF scanner - one PDF, one page per form - and each page is read for you, matched to the part it’s for, ready to check and attach (Growth and up)
- On the phone: point the camera at the same paperwork and it auto-detects the page edges and straightens the shot, same as a dedicated scanning app - scan several pages in one go (Growth and up)
- Prepare the release certificate yourself: an FAA 8130-3 for return to service, an EASA Form 1 or a Transport Canada Form One, each laid out block by block with the rules in plain words, numbered, kept as a record, and left for the authorized person to sign by hand
- Export applications (FAA 8130-1 Part II) for parts going to a buyer abroad, started from the sales order
- Expiry dates you can see coming
- Documents and photos attached where they belong
04 · GOES OUT
Work orders with a sign-off
Open a job against an aircraft, pull parts to it, and route it for approval.
- Work orders by tail number, with the parts used and the people on the job
- Approval workflow before a job closes
- Stock updates as parts leave the shelf
05 · SOLD
Quote it, sell it, get the core back
Sell to other shops and operators without tying up stock on a maybe.
- Sales quotations: a priced offer that doesn’t hold stock, until the customer accepts it
- Share a quotation with a public link - no login needed on their end - for a customer with no email on file
- Add a few photos to a quotation, and its parts’ certificates go out with it automatically when you email it
- Exchanges: ship the serviceable part, track the customer’s core coming back, and get flagged automatically if it’s still outstanding 14 days past the due date
- Mark a sales order shipped and its packing slip is ready to print - shop letterhead, ship-to, parts and quantities, no prices
- Proforma invoices for customs and international shipping, from any sales order
- A pick ticket in shelf order, a certificate of conformity, and credit memos for returned parts that can never credit more than was sold
- Invoice a finished work order: its hours and parts come across and you enter your prices (admins and managers only)
- Interchangeable parts: log which part numbers are direct alternates for each other, from the part’s own page
- Part sheets, sales orders, quotations and exchanges email straight to the customer, styled with your own shop’s branding
- List a part on eBay when you choose to, at an eBay price of your own that never changes your sale price
- Paste a customer’s list of parts and get a draft quote from what you hold, with prices from your own price rules
- A public website for your shop: the parts you choose and quote requests on every plan, and order requests that hold the parts for the buyer on Growth and up. You are paid through your own payment account; we never touch the money
06 · REORDERED
Purchasing and forecasts
Buy from your vendors, receive against what was ordered, and see what you will need next.
- RFQs: ask one or more vendors to quote a part before committing to a purchase order, and track what each one comes back with
- Purchase orders and receiving, with a record per vendor
- Repair orders for parts you send out: what is still out, what came back repaired or scrapped, and the vendor’s charges
- Core return confirmations that go back to the vendor with the core, tied to the purchase order
- A reorder plan: parts that have run down to their warning level, grouped by the vendor you usually buy from
- Usage forecasts worked out from what your work orders actually pull: when each part is expected to run out, and a reorder suggestion that allows for the vendor’s lead time (Growth and up)
- Reports on parts usage, vendors, costs, stock aging, quotes and budget (Growth and up)
- QuickBooks Online sync for vendors and items on Pro and Enterprise
07 · CHECKED
Counts and a paper trail
Know the shelf matches the screen, and who changed what.
- Scheduled cycle counts with variance review
- An audit log of every edit, by person and time
- Notified the moment a purchase order needs your approval, is sent, received or cancelled - and when an RFQ is awarded
- Five roles, from admin to viewer, and a page that explains what each can do and how many people hold it
On the hangar floor
The companion phone app is included on every plan, on the same account and the same stock as the web app. What it does:
- Find a part and see where it is and how many you have.
- Photograph parts and let the labels be read for you to check (a monthly number of photo reads comes with each plan).
- Receive a purchase order line by line, and see what a vendor wrote back.
- Open and work your work orders.
- Customers who emailed for a quote, and quoting them from the phone.
- Scan release and repair paperwork with the camera (Growth and up).
- Scan a barcode or QR code to pull up a part (Pro and up).
- Be told on your phone when something needs you, such as an approval.
